Privacy policy
What we collect, why we collect it, who sees it and how long we keep it.
Hua Hin Compass helps people research, plan and organise a move to Hua Hin. This policy explains which personal data we process when you use our website, Compass tools, free planning tools, the paid My Hua Hin Plan workspace and optional personal guidance services.
It also explains why we use the data, how long we keep it, who may receive it and which choices and rights you have.
1.Who is responsible for your data

T-Tronix BV is the controller responsible for the personal data described in this policy.

2.Who this policy applies to
This policy applies to visitors, people using our free tools, account holders, purchasers, personal guidance customers and participants, people who contact us and people who ask us to introduce them to a relevant provider.
Our services are intended for adults. A parent or guardian may include information about members of their household, including a child, where this is relevant to relocation planning. Children should not create an account or submit personal data directly.
3.What personal data we process
The data we process depends on how you use Hua Hin Compass.
Website and technical data
- IP address, browser and device type;
- date, time and requested pages;
- security, authentication and error logs;
- cookie choices and technically necessary session information;
- information used to prevent abuse, investigate errors and secure accounts.
Contact, enquiry and referral data
When you contact us or request an introduction, we may process:
- name and email address;
- optional telephone number;
- nationality, target move date and household context you choose to provide;
- your question, message and communication history;
- the provider or service you are interested in;
- records of your request and any consent to share your details.
We do not share your details with a provider merely because you viewed or clicked a provider card. We only make a personal introduction where you have clearly requested it or otherwise authorised us to do so.
Free Compass tools
Most free tool answers and calculations are processed locally in your browser and are not linked to an identified account unless the relevant tool clearly tells you otherwise.
If you ask us to email a result, we process your email address, the result and the information needed to generate and send that message. The form will explain this before you submit it.
Account and purchase data
- name, email address and account identifier;
- authentication records and password-reset events;
- purchased plan, price, currency, tax and transaction status;
- invoice or billing details you provide;
- payment-provider customer and transaction references;
- acceptance of the Terms and records relating to cancellation or refunds.
We do not receive or store your complete payment-card number. Payments are handled by our payment provider.
My Hua Hin Plan data
The paid planning environment may contain:
- target move date and relocation stage;
- household composition and age bands;
- nationality and intended immigration route;
- work, income-source, budget and remittance preferences;
- housing, school, healthcare, insurance and transport preferences;
- answers in your relocation brief;
- decisions, shortlists and custom answers;
- tasks, dependencies, deadlines, recurring actions and progress;
- personal notes and document-status information;
- saved Compass-tool results;
- changes made by you, the system or an advisor;
- activity history needed to explain how your plan changed.
You decide how much information to include. Please do not upload identity documents, certificates, financial statements or medical records unless Hua Hin Compass introduces a specific, secure feature that expressly requests them. The current document tracker records status only and is not intended to store document files.
Some relocation answers may indirectly reveal information about health, family circumstances or finances. Only provide information that is relevant to your plan. We do not use this information for advertising or sell it to third parties.
Optional personal guidance service data
- pre-call questions and availability;
- appointment details and attendance;
- questions submitted through your dashboard;
- advisor replies, comments, recommendations and actions;
- consultation notes and agreed conclusions;
- introductions to recommended providers you request;
- support start and end dates and service history.
Calls are not recorded unless everyone taking part has expressly agreed beforehand. If a recording is proposed, you will receive separate information about its purpose and retention.

Where we rely on legitimate interests, we assess whether the processing is necessary and whether your rights and interests outweigh ours. You may object to such processing in the circumstances described below.
Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.
5.How personalised results work
Compass tools and My Hua Hin Plan use transparent rules to connect the answers you provide with relevant guides, decisions, actions, dependencies and suggested dates.
These results are decision-support and planning outputs. They do not make decisions that produce legal or similarly significant effects about you. They are not immigration, legal, tax, medical, insurance or financial decisions, and you remain in control of the choices saved in your plan.
6.Who receives your data
Authorised members of Hua Hin Compass may access personal data where necessary to operate the service, answer questions, provide support or maintain security.
We also use service providers that process data on our behalf:
- website hosting, backend, database and authentication: Lovable Cloud, using Supabase infrastructure configured for EU regional hosting;
- payment processing and billing: Stripe;
- transactional email: Resend, used to send order confirmations, account and service emails;
- video consultations: the video-call platform named in your appointment confirmation.
These providers may only use personal data for the agreed service and must protect it under applicable data-protection requirements.
The core application hosting, database and authentication environment is configured in an EU region. This does not mean that every limited support, billing, security or service operation by every provider necessarily takes place only inside the EEA. Where a provider processes or transfers personal data outside the EEA, the safeguards described below apply.
We may also disclose information:
- to professional advisers where reasonably necessary;
- where required by law, a court or a competent authority;
- to protect the rights, security or integrity of users or the service;
- in connection with a genuine business reorganisation, subject to appropriate confidentiality and data-protection safeguards.
We do not sell personal data.
7.Recommended providers, partners and affiliate relationships
Editorial recommendations, commercial placements and personal introductions are separate concepts.
Partner cards, featured listings and affiliate relationships are labelled. A commercial relationship does not give a provider access to your plan or account.
If you ask for a personal introduction, we show you which details will be sent and to whom before the introduction is made. Once the provider receives the information as an independent controller, its own privacy policy applies.
8.International transfers
Some service providers may process personal data outside the European Economic Area. Where this happens, we use a legally recognised transfer mechanism, such as an adequacy decision or approved Standard Contractual Clauses, together with supplementary safeguards where required.

9.How long we keep personal data
We keep personal data only for as long as needed for the purposes described above, subject to legal retention duties.

10.How we protect your data
We use technical and organisational measures appropriate to the nature of the data and the risks involved. These include access controls, authentication safeguards, encrypted connections, restricted administrative access, logging, backups, supplier controls and procedures for handling security incidents.
No online service is completely risk-free. You are responsible for keeping your login details confidential and for contacting us promptly if you believe your account has been accessed without permission.
11.Your choices and rights
Subject to the conditions in applicable law, you may ask us to:
- give you access to your personal data;
- correct inaccurate or incomplete data;
- delete personal data;
- restrict certain processing;
- provide data you supplied in a portable format;
- object to processing based on legitimate interests;
- stop direct marketing;
- explain the safeguards used for an international transfer;
- withdraw consent at any time where processing is based on consent.
Where possible, account and plan information can be corrected directly in your dashboard. Account holders can also request a data export or account deletion from the account page. To exercise another right, contact gdpr@t-tronix.be and describe your request. We may ask for information necessary to verify your identity. We normally respond within one month, subject to extensions permitted by law.
Some information cannot be deleted immediately where it must be retained for tax, accounting, fraud-prevention or legal-claims purposes. In that case, we restrict it to the relevant purpose.
You also have the right to lodge a complaint with the Belgian Data Protection Authority or the competent supervisory authority in your country of residence: dataprotectionauthority.be.
13.Changes to this policy
We may update this policy when the service, suppliers or legal requirements change. The latest version and effective date are published on this page. If a change materially affects how we use existing account data, we will provide a prominent notice and, where required, request consent.
